Preparing an Excel file for SPSS import

MS Excel is the most common source for importing data into SPSS. In this page, you will learn how to prepare your Excel file for SPSS import. Following the steps below will help save you the hassle of reorganizing or renaming your data after it is imported to SPSS, creating a smooth transition of the entire dataset from Excel to SPSS.

  

Preparing your Excel file involves the following:

Tip 1

The first row in the spreadsheet should consist of variable names. This should span across the spreadsheet.

Tip 2

Variable names should not include special characters  (e.g., "Test scores" would not be a valid variable name because it contains a space). They should contain ordinary letters, numbers, and underscores (e.g., Name, Test_1, Exam_Score).

Tip 3

The data should begin in the first column, second row (beneath the variable names row) of the spreadsheet.

Tip 4

Anything that is not part of the data itself (e.g., extra text, labels, graphs, Pivot Tables) should be removed.

Tip 5

If your spreadsheet has multiple tabs/sheets, be sure to label the sheet you wish to import, such that you can find it easily using SPSS import wizard.
